You must maintain a presence via email and ingame messaging to your subjects and your enemies. For your subjects, seeing frequent messages from you is reassuring. The absence of messages from you is even more demoralizing. With these messages, you establish your leadership position. You must also be careful in what you say. In many respects, your word is law, if only because you, of all nobles in the game, have the resources to back up words with deeds.

Players, both subjects and enemies, will be prone to reading your statements in ways you did not intend. You don't have to agonize over every word you write, but be prepared to clarify when needed.

Use Private Messaging groups for matters that you only want your inner circle to see. Anyone may make a Private Messaging Group, but only the person who makes the Group can edit the members, so you should maintain your own.
